| Introduction |
| Antioch Community Counseling & Psychology Clinic provides outpatient therapy and assessment and consultation services to children, adolescents, adults, couples and families. The clinic also serves under-represented populations with a sliding scale for those with limited income. Students enrolled in one of the master's and doctoral programs in Clinical Psychology serve as therapists or evaluators and are highly supervised by licensed professionals. The clinic serves approximately 200 clients. |
| Nature and Scope |
| Coordinates daily operations of the clinic including supervising front desk staff, ensuring people working in the Clinic are oriented to Clinic policies and procedures and producing various reports in a timely manner. |
| Essential Functions/Accountabilities |
- Coordinates operations of clinic including budget and staffing. Establish priorities and guidelines for maintaining expedient workflow for the clinic.
- Coordinate all graduate assistants, doctoral interns, doctoral fellows and graduate therapists, assign clients to therapists, terminate client relationships or therapists and re-assign or transfer clients to new therapists.
- Conduct orientation for new therapists and clinical supervisors to new policies and procedures and clinic guidelines.
- Monitors clinic paperwork and clinic notes; deactivate and close client files; ensure appropriate authorization for closing client files adhering to oversight on confidential records.
- Oversees and manages psychological test materials check out process for doctoral students.
- Manage daily and monthly billing processes including collections and daily deposits of fees associated with client treatment. Responsible for monthly billing and fees for contracted services and third party agencies.
- Participates on committees, in meetings or campus groups as requested or deemed necessary.
- Troubleshoots minor technology used with the various clinic software and hardware equipment.
- Manage the infrastructure of the clinic intranet website including initiate login, security permissions and create individual webpages. Regularly updates content Antioch University Seattle Clinic website.
- Implements new initiatives and participates in clinic development.
- Updates various manuals and procedures on a regular basis.
- Various projects as assigned.
- Work schedule: work days and hours is 35 hours / week, is subject to change and will vary as needed or directed.

| Qualifications |
- B.A. degree, preferably in human services, psychology, social work or related field. M.A. preferred.
- Minimum of 3 years of office management experience, preferably in a mental health or psychologist's office.
- Demonstrated experience preparing a variety of financial tracking and report systems using Excel and billing and/or management software.
Strong organizational and prioritization skills.
- Computer database skills required. Billing experience preferred.
- Attention to detail.
- Demonstrated ability to maintain a high degree of confidentiality and HIPAA compliance.
- Strong interpersonal skills; ability to work in a diverse, multicultural and participatory environment.
- Experience working with chronic and/or severely mental ill clients preferred.
- Ability to diffuse conflict in possibly hostile situations in a professional manner.

| Relationships |
Internal: Works closely with clinic director, graduate assistants, interns, fellows, students, faculty and other administrative staff of the campus.
External: Works frequently with various local organizations that may make referrals to the clinic, state and third party agencies. |
| Supervision |
| This position coordinates up to 6 graduate assistants, non-clinical tasks of at least 2 doctoral interns, 5 doctoral fellows and up to 100 student therapists. |
| Environmental and Job Hazards |
| No unusual environmental or job hazards. |
| Physical and Mental Demands |
- Regular computer keyboard use.
- Periods of stress due to multiple tasks and level of public contact.
- Occasionally carry and/or lift at least 20 pounds.
